Privacy Policy
Effective October 23, 2026
This is a plain-language policy written to be easy to read.
This is a plain-language policy. It explains what UpfrontBid collects, why, who helps us run the service, and the choices you have.
UpfrontBid is operated by Brian Copland, a sole proprietor, at 106 West 38th Street Unit B, Austin, TX 78705. In this policy, "we" and "us" mean UpfrontBid. "Contractor" means a business that signs up and uses UpfrontBid. "Homeowner" means a person a contractor sent a quote to.
What we collect from contractors
When you sign up and use UpfrontBid, we collect:
- Account details: your email address and password (stored as a secure hash by our authentication provider, never in plain text).
- Business details you enter: your name, business name, trade, reply-to email, signature, and preferences like your follow-up templates, schedule, and weekly digest day.
- Quotes you forward or add by hand, and the follow-up emails we send for them.
- Subscription status from Stripe, such as whether you're in a trial or active, and your Stripe customer ID. We don't receive or store your full card number.
Forwarded quote emails and attachments
When you BCC or forward a quote to your UpfrontBid address, we receive that email through our email provider. We read the email text, and any PDF or image attachments, to pull out the homeowner's name, the homeowner's email, the job, the quote amount, and the date.
We save those extracted details with the quote. We don't keep a copy of the attachments in our database. We keep a short record that the email arrived and how it was handled, so the same email isn't processed twice.
What we collect about homeowners
For each quote, we store the homeowner's name, email address, the job description, the amount, the quote date, any notes the contractor adds, and the follow-up emails sent for that quote.
We record whether each follow-up was sent, whether the homeowner replied (so follow-ups stop), and whether they unsubscribed. We do not track email opens or link clicks.
If a homeowner unsubscribes, we keep their email address on a suppression list so they don't get follow-ups again.
How we use information
We use information only to run UpfrontBid:
- Reading forwarded quotes and scheduling follow-ups.
- Sending follow-ups in the contractor's name, sending the contractor confirmations and the weekly digest, and stopping follow-ups when the homeowner replies or unsubscribes.
- Running your account, billing, and support.
- Keeping the service secure and working, including fixing errors and preventing abuse.
We don't sell your data
We don't sell or rent personal information, and we don't share it for advertising. Homeowners are never added to a marketing list. The only emails a homeowner gets from UpfrontBid are the follow-ups for the quote a contractor sent them.
Service providers we use
We use a small number of companies to run the service. They process data for us to provide their service:
- Lovable Cloud, built on Supabase: website hosting, database, and account login. Our host also collects basic site usage and error information, like pages visited and technical errors.
- Resend: sending follow-ups and contractor emails, and receiving forwarded quotes and homeowner replies.
- Stripe: subscriptions and payments through Stripe Managed Payments, where Link acts as merchant of record and handles payment processing, sales tax, and receipts. Your payment details go to Stripe and Link, not to us.
- Lovable AI, using Google Gemini models: reading the contents of forwarded quotes (email text and attachments) to pull out the homeowner and quote details.
Cookies and similar technology
We use only what's needed to run the site. Your login session is kept in your browser's storage so you stay signed in. Our hosting provider sets a security cookie to block bots, and its basic analytics script records page views and errors. We don't use advertising cookies or cross-site tracking.
Homeowners: unsubscribing and CAN-SPAM
Every follow-up includes an unsubscribe link and our mailing address. One click stops all UpfrontBid follow-ups to that email address, from any contractor, and it takes effect right away. Replying to a follow-up also stops follow-ups for that quote.
If you're a homeowner and want your information removed, email us at brian@coplandpg.com.
How long we keep data
We keep account and quote data while the contractor's account is open. If you ask us to delete your account, we delete your account, quotes, and follow-up history within 30 days, except for records we have to keep for legal, tax, or billing reasons, and the unsubscribe list, which we keep so people who opted out stay opted out. Our service providers may keep backups for a limited time.
Your choices
Contractors can view and edit their business details, templates, and quotes in the app at any time. To get a copy of your data or have it deleted, email brian@coplandpg.com from your account email. We'll respond within 30 days.
Security
We use reputable providers, encrypted connections (HTTPS), signed webhooks, and access rules so each contractor can only see their own data. No system is perfectly secure, so we can't promise data will never be exposed, but we work to protect it and will tell affected users if a breach affects them as required by law.
Children
UpfrontBid is a business tool for contractors. It isn't meant for anyone under 18.
Changes to this policy
If we change this policy, we'll update the effective date on this page. For important changes, we'll email contractors before they take effect.
